Intelligent data capture solutions

At the cutting edge of capture services for many years, Service Point offers clients a series of extraction and indexing options, together with seamless processes to export their data into multiple formats: xml, csv, etc for import into virtually any Electronic Content or Document Management system.

For true Intelligent Data Capture (IDC), Service Point offers technology which has the ability to recognise automatically and classify documents. This provides fast template-free data extraction from any document type (invoices, customer orders, claims or benefits forms, loan applications, etc.) for auto-processing to SAP, Oracle, JD Edwards, Peoplesoft and other ERP systems or DMS repositories

Our systems can speed up document processing by up to 80%, automatically extracting line-item detail from large documents and tables, sharply reducing the need for manual review, data entry or scripting.

Typically, when providing support relating to the corporate preparation of Interactive CD/DVDs Service Point meets with the client’s representative responsible for Quality Assurance to understand the company’s document filing structure and project document procedures. From this meeting, a process is drawn up to define which documents will be scanned at the end of the project, together with how they should be indexed and formatted. Corporate logos and branding information is also managed to ensure the final product is fully consistent with the entire document package produced for the client.

Manual Indexing

Manual indexing can either be performed at the scanning station or from the created image. Service Point can scan documents at any one of our national or global bureaus – best suited to you.

Double key entry is used for accuracy. Fields are keyed twice by different people. Matching fields are approved. Index fields that don’t match are instantly corrected.

Barcode recognition

Within our bureaus we use barcode coversheets together with match and merge processes to marry scanned documents with indexing data which is found in existing spread sheets or databases. Typically used when scanning Local Authority planning files.

Councils traditionally produced an electronic gazetteer of all information pertaining to each planning application, to be imported into their ECM system together with the associated scanned documents. From gazetteer, we create a bar coded coversheet for each document utilising a value which is unique to each document.

Optical Character Recognition (OCR)

Optical Character Recognition technology is utilised to convert characters in an image into dynamic data which can be used to perform word searches to find a required set of text/documents or to extract indexing criteria.

As part of a large backfile conversion of extensive small format documents, OCR is a cost effective alternative to indexing multiple fields and sections of documents. Instead of capturing the index data by document, an alternative is to index the name of a lever-arch file or archive box, then OCR everything within.

Barcode recongition

Barcode recognition is the most efficient way to capture index data printed on documents. If your project is to scan new documents on an on-going basis, we can help redesign them to include barcodes so at the point of creation they can be read with accuracy.

Where it’s not possible to print barcodes on documents, barcoded coversheets are easily created and placed between files before scanning. Service Point provides free software that creates these coversheets and all you need for indexing data associated with corresponding documents.

Optical Mark Recongnition

Optical Mark Recognition refers to a process of detecting intended marked responses such as checkboxes or fill-in fields on a scanned document. This technology is particularly suited to applications such as survey forms and reply cards etc. OMR allows forms to be processed at high speeds and with great accuracy.

Service Point has been involved in a number of projects using our in-house printing and forms design facilities to produce survey documentation and subsequently process the recognised data. The resulting data may then be presented to the customer in a selection of formats.
