Example of The Practical Process

The following outline is a simple guide to how ProjectVault may be used in the day-to-day running of a project.

  • Drawing(s) are posted onto the system by the architect (in this example).
  • The Document Controller then has to inform the other members of the design team that this drawing is on the system.
 
  • Each drawing that is sent in by each design team member has to be forwarded to the other members of the team.
  • The Document Controller will issue a 'Transmittal' with this new drawing attached to each member of the design team.
  • If comments are to be returned to the Document Controller or they need these drawing(s) viewed by a certain date they can fill in the 'Required By' date on the form (this now changes the form from a 'Transmittal' to a Submittal.)
 
  • Each user will now have a 'new Task' in their task list and a calendar entry to inform them to action this submittal.
  • Each member of the design team will receive an e-mail detailing what drawing they have been sent and who else is also on the distribution list.
  • Each design team member also has a link on the e-mail to download the drawings that have been sent to them.
 
  • If there is a 'Required By' date, they will have to action by the date required and sign of their tasks that have been assigned.
  • Once the Transmittal has been viewed and the design team member requires copies to be printed for their team members they simply create a 'Print Order' from themselves and send it to our branch for prints or an onsite print room in the case of an FM.
The most important feature of this system is to provide an up to date listing of documents on the project.

This is the single most important benefit that a Document Controller must have.
If the builders are working to drawings that are out of date there will be major problems on-site. Any work that has been carried out using the wrong drawings will result in the relevant construction having to be pulled down, broken up etc.
The search facility will help the Document Controller compile listings of current version drawings…

 
  • Which drawings have been logged in the past 24 hours or 7 days.
  • By which consultant or sub contractor etc.
This is the information that will assist in the day-to-day running of a construction project whether its a small project or a massive multi million pound project.
