1 I Store, Scan, Destroy: Long Term On-Demand
Provision of unlimited secure document storage, coupled with a scan on demand retrieval service. All
documents are boxed, bar coded and their location recorded within our tracking system. All requests to
retrieve and scan documents are coordinated through the tracking system and the scanned images issued in any
specified format. Following the issuance of the electronic files, all hard copy documents (if required) can be
destroyed and a certificate of destruction provided.
2 I Project & Contracted Scanning: Paper, Microfilm & Microfiche (Archive)
We offer clients the option of regular document pick-up using our fleet of Euro4 emission-compliant
vehicles for scanning locally at any of our National Imaging Centres. Bulk scanning projects are carried out at National
Scanning Bureaus across the UK, plus for major scanning requirements, we have one of Europe's largest
scanning capabilities offering client’s extensive capacity and significant cost savings. Files can
subsequently be exported to CD or DVD in a format that will allow upload to their own EDMS.
3 I Compliance Services: H&S, O&M, Acquisition, Interactive Solutions (CD, DVD & Online/Upload)
Our solutions provide effective and intuitive formats for all Health & Safety Files, Operation & Maintenance
Manuals and Acquisition Documentation. Documents are scanned and formatted in exactly the same format and
context as the hard-copy documents, then intelligently linked for ease of reference and retrieval. QA Processes
& Procedures can be implemented for Service Point to pick up documents on completion of contracts from site,
then delivered back as CDs or DVDs which have been produced in accordance with previously agreed formats.
Full text searching is also available to quickly and easily find content across documents.
4 I Data Capture & Processing: Invoice, POD, Ledger & Mail (Live & Ongoing Process)
For Clients with large/regular volumes of documents to be scanned and processed; such as Invoices, we can
implement capture processes which utilise ICR, OCR, Bar-coding and Forms processing technology to not only
scan the documents, but also extract valuable data from the images. The images and data can then be
provided on CD or DVD, uploaded to a secure FTP site, pushed to your own software package (accounts
package for example) or we can host everything on our secure online ECM (Electronic Content Management).
5 I Electronic Document Management: Electronic Content Management (Owned & 3rd Party)
Our Electronic Document & Content Management Systems provide you with the ability to Capture,
Manage, Securely Store, Easily Retrieve, Distribute & Process your documents. They are scalable, secure,
easily integrated within other systems and can either be installed on your server or on-line, providing
either desktop or web access to all of your documents and information.
6 I Electronic Document Management: Project Collaboration - ProjectVault (Owned)
Service Point developed the very first UK Document Management package specifically for a construction team in
1997 (BAA and the Heathrow Express Project) which consequently received a DTI award for innovation and best
practice. ProjectVault, Our document control and distribution system, now has a 10 year proven track record of
providing construction companies with what they need without the clutter of superfluous functionality.
ProjectVault delivers effective distribution of electronic documents to facilitate tenders and construction.
It incorporates revision control, document audits and reporting, together with electronic print ordering to our
national network for document production at the point of need. The system is fully scalable, reliable and very cost
effective - typically a quarter of the price of similar products available.
